Triwest Soccer Board News
November 9, 2009 Annual General Meeting Notes * We're a bit behind financially - we've been spending more than we take in, so to bridge between now and our casino in late 2010 we're going to need to raise fees to charge something closer to what other clubs are charging. We're fortunate to have Corrie Szautner as our treasurer to watch the pennies. * There is some interest in U4 as evidenced by our registration last spring when we had U4s climbing onto our U6 teams. Unfortunately, there is a lot of difference development-wise between a typical three-year old and six-year old so that wasn't a great fit, and we'll discourage this in future. We will however support a U4 division if someone steps up to organize it. Contact Chris Riege to make this happen (info@triwestsoccer.com) * A good thought on U6 spring soccer - when we split up the teams for mini-games, create a strong and a weak team so that the competition is more balanced. * For technicals, we've got PASS doing a good job on these for us. Some feedback we've got is that we'd rather not reschedule rained-out technicals (too much juggling), we'd like to have a bit more "coaching the coaches", and there is interest in spreading the technicals out futher. We're looking for someone to coordinate technicals, so if you are organized let me know (Chris Dilger info@triwestsoccer.com), this is a job you can do on a flexible schedule from home..... * For U10, there was discussion of the pros and cons of registering in the South-West League versus CMSA. We were leaning towards the SWL and have confirmed this by asking U10 parents and coaches for input. * We need some help - our registrar, Kim Cook, needs a back-up - please contact Kim (registrar@triwestsoccer.com). We also need a secretary - please contact Chris Dilger . Many hands make light work - if you can pitch in in some way, please let us know. * Thanks again to all the volunteer coaches, managers, linesmen, marshalls, coordinators and organizers who make Triwest a success! We're recruiting for a few key roles to prepare for next year. The spring soccer season we are finishing up was great, but there is room for some extra hands to smooth out a few rough spots for next year that your band of volunteers (a.k.a. the Board) encountered. Our Board is a "working" board - nothing fancy - we all just pitch in to deliver the program. Here is where we need some help starting in the fall (and none of these roles require you to have any soccer skills or knowledge): 1. Treasurer - Rob Blyth has done a great job of this, but he is changing roles to help us document and clarify the various processes we use to keep the Triwest train on the rails. We keep our books on a cash basis, so the treasurer need only be trustworthy, detail oriented, and conversant in Excel. Writing cheques, an occasional trip to the bank (and maintaining the statements), keeping track of things, and attending the Board meetings every few weeks are the primary tasks. Time commitment is about 2 hours per week. 2. Secretary - Barb Morrison has done yeoman service here, but Barb no longer has kids playing Triwest, so she's becoming a Board member at large to share her experience with newer members. The secretary takes minutes at our Board meetings, sends them out, puts together the meeting agendas, and keeps our records. If you are proactive and organized, this job is for you. Time commitment is 1-2 hours per week. 3. Field Coordinator: We currently have an excellent field scheduler (Gerry Conaty) for you (as the new field coordinator) to work with, but we need someone to take charge of the remaining aspects of the field role: calling our contractor when field marking needs doing, canceling games when the fields are soggy (or working with a volunteer to do this), getting the field boxes in order (nets, corner flags etc), and attending Board meetings. Time commitment 1 hour per week, except in April-June, where it's 2 hours per week. 4. Girls coordinator (U10+): This role is currently vacant. We're looking for someone to be the liaison between the Board and our girls' teams. This is a communications role and requires attendance at the Board meetings every few weeks, and a bit of time on the phone and through e-mail. Additionally, if we get to the point where we have multiple girls teams in each age group, you would help split the girls to the right team based on evaluations (you do not need to do the evalulations, though). Ideally, the parent will have a girl playing U10 or older. Time commitment is 2-3 hours per week in April, 1-2 hours per week otherwise. More info in attachment: 5. VP - This position lines you up to be the Triwest President for one year after a year of practice as VP. You need to attend the Board meetings for a year and pitch in wherever help is needed. The core of our existing Board willing to stand in our November elections, and we have some new leaders stepping forward too: For November, we have nominees lined up for Registrar (Kim Cook), Website (Keith Ermter), President (Chris Dilger), Equipment Coordinator (Chris Riege), Communications Manager (Laura Chutney), Process and Document Manager (Rob Blyth), Technical Coordinator (Charles Edmonds), Directors at Large (Donna Pasquino, Barb Morisson), Fields Scheduler (Gerry Conaty), and Ref Coordinator (John Addy), U6-U8 liaison (Chris Riege), Boys U10+ coordinator (Audry Van Aken) There is some additional description of roles on our Triwest website, but as our structure is somewhat fluid based on the time, interests and skills of our volunteers, these may not be exactly correct: "Triwest Roles" Thanks for helping!
